  • Intake & Resolution Coordinator – Professional Conduct Department

    The College of Dental Surgeons of Alberta (CDSA) registers dentists and ensures that the dental health of Albertans is advanced through safe, available, quality, and ethical dental services. The CDSA governs the profession of dentists in a manner that protects and serves the public and patients in accordance with the Health Professions Act, and is accomplished by:

    • Establishing, maintaining, and enforcing standards for registration and continuing competence for the profession of Dentists in Alberta;
    • Establishing, maintaining, and enforcing a Code of Ethics and Standards of Practice, including monitoring and evaluating professional, clinical, and ethical standards;
    • Providing direction to, and regulating the practice of the dentist’s profession, and

    About the Position

    As the Intake & Resolution Coordinator for the Professional Conduct Department (PCD), you will work collaboratively with a team and receive requests for information related to the dental profession as well as responding to formal complaints.

    You will have experience working in a dental clinic as a Dental Assistant and/or Office Manager with a proven ability to collaborate and mediate conflict to a successful resolution. You utilize a high degree of discretion and have experience working with highly confidential and sensitive information.

    Key Responsibilities:

    • Serve as the first point of contact for complaints and inquiries received via phone, email, or written correspondence.
    • Conduct a thorough intake of complaints by asking clarifying questions, gathering relevant information, and documenting all communications.
    • Provide guidance to the public, dentists, and third parties, offering advice on resolving issues before formal complaints are submitted.
    • Facilitate the resolution of disputes between complainants and dental professionals, employ conflict resolution strategies, draft resolution terms, and obtain necessary consents.
    • Monitor and manage timelines to ensure all complaints are processed within legislated timeframes and in accordance with regulatory requirements.
    • Escalate unresolved matters to the Intake and Resolution Manager for further investigation as necessary.
    • Collaborate closely with team members to ensure files are appropriately diarized, documented, and followed up.

    Skills & Qualifications:

    • Strong active listening, communication, and conflict resolution skills.
    • High level of confidentiality, discretion, and professionalism when handling sensitive information.
    • Excellent verbal and written communication skills with impeccable attention to detail.
    • Effective knowledge of and confidence working in the Microsoft Office Suite.
    • Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment.
    • Detail-oriented with excellent organizational skills.
    • Capable of working both independently and collaboratively within a team.
    • Demonstrate an understanding of and respect for diverse perspectives and backgrounds.

    Education & Experience:

    • Dental Assistant Diploma is an asset
    • A minimum of five (5) years of experience in a dental office
    • Experience in dental clinic management is an asset.
    • Knowledge or experience in dispute resolution and/or mediation is highly desirable.

    You will have experience working in a dental clinic as a Dental Assistant and/or Office Manager with general knowledge of how a dental clinic operates, and a proven ability to collaborate.
